How this calculator works
The estimate starts from a per-guest baseline of $45, the midpoint of the $35 to $55 per-person range for a full-service buffet that Thumbtack and Angi consumer job data support in current US markets. That baseline is documented in our catering cost per person guide. Two multipliers then adjust it:
- Service style. Drop-off catering with no on-site staff runs roughly 55 percent of a comparable buffet total. Family style (shared platters, minimal staffing beyond setup) lands around 15 percent above buffet. Plated, full-service dinners - with individual course delivery and a higher staff-to-guest ratio - typically run 35 percent above buffet. - Bar package. A beer-and-wine package typically adds 30 to 40 percent to the food-only total once alcohol, glassware, and bar staff are included. A full open bar (spirits plus beer and wine with dedicated bartenders) generally runs 55 to 65 percent above the no-bar baseline. Bar costs are the single most variable line item on a catering proposal - confirm the exact inclusions before signing.

What this estimate does not include
The calculator covers food and staffed service only. Catering proposals routinely add line items that are not in this estimate: rental equipment (tables, chairs, linens, chafing dishes), venue or kitchen access fees, a mandatory service charge (typically 18 to 22 percent in the US, separate from and in addition to gratuity), sales tax, and delivery or travel fees for off-site events. Always request a fully itemized written proposal - verbal assurances about inclusions are not contracts.

How much does catering cost for 50 guests?
A full-service buffet for 50 guests typically runs $2,000 to $2,800 at current US pricing - roughly $40 to $55 per person for food and staffed service. Bar packages, plated service, or a high-cost market push the total higher. Always get an itemized written quote.
Why do plated dinners cost more than buffets?
Staffing. A plated dinner requires servers to deliver each course individually, which means more staff per guest and higher labor costs. The food itself is often comparable; the difference is almost entirely in the service labor and the time required to execute individual-plate delivery at scale.
Does the catering quote include gratuity?
Not always, and this is the most common budget surprise. Many caterers charge an 18 to 22 percent service charge - which covers the caterer's overhead, not tips for staff - and gratuity may still be expected on top of that. Confirm in writing exactly what the service charge covers before you sign.
How far in advance should I book a caterer?
For events under 50 guests, 4 to 8 weeks is usually workable with most caterers. For events over 100 guests, or for peak weekend dates in spring and fall, 3 to 6 months out is safer. Popular caterers in major metros book out for summer Saturdays even further ahead.
